Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

THS is a volunteer community organisation with the aim of creating a source platform for Toodyay genealogical and historical research. Nobody associated with the organisation is being paid or doing it for personal gain, but rather out of a sense of community spirit to benefit all historical researchers.
Unless otherwise specifically stated in writing, there is no intention to create legal relations between Toodyay Historical Society and any volunteer, sponsor, or donor.
The acceptance by Toodyay Historical Society of any sponsorship, donation or volunteer effort shall not under any circumstances be deemed to create a legally binding contract, nor is there any warranty or promise, implied or otherwise, that the information provided will result in any particular outcome.
Consent to retention and use by THS of personal data
In asking to be added to the THS membership I confirm that I understand and consent to the following:
My personal data (ie name and electronic contact details) will be retained for the purpose of mailing list management and the provision of updates regarding as per the benefits outlined in my membership package
My voluntary consent provides the legal basis for the processing of the data. There is no obligation for me to provide consent, but if I do not I understand that I cannot be a member.

THS does not knowingly process the personal data of minors, and I confirm that I am over 18 years of age.
My personal data will be held indefinitely while I remain subscribed to the THS membership, and will be deleted; on request; if my email address ceases to operate; or if the membership ceases to exist.
I understand that I may withdraw my consent at any time, in which case my personal data will be deleted and I will be removed from the membership list. If I do withdraw consent, that will not affect the lawfulness of any processing of my personal data prior to the date of withdrawal. I also retain the right of full access to my data, to require THS to rectify any errors, and to object to any processing that I no longer agree with. All correspondence, including withdrawal of consent, should be sent by email to members@toodyayhistoricalsociety.org.au
My personal data will be retained in confidence by THS, and will not be used for any purpose other than those stated above. In addition to the THS membership manager, personal data may be processed by a limited number of trusted volunteers, including THS’s secretary. Such trusted volunteers have committed to handling all personal data in compliance with privacy requirements.
I understand that THS, as a small non-profit organisation, has to rely on the integrity of its trusted volunteers and on third-party platforms to maintain the security and integrity of my personal data, and risk should be assessed accordingly.
In the event that a viable software product results from this project, copyright in such product will remain with its individual open source contributors under the terms of the GNU Affero General Public License. HRE Ltd does not and will not own the product, nor any copyright in it, and accepts no liability for any use of the product, nor of the availability of support or product development. While HRE Ltd may assist open source volunteers who wish to develop or provide technical support for the product, HRE Ltd accepts no liability for such assistance.
